KIRA by Velorix · Your Digital Business Assistant

Give your teamtime back.Keep your business moving.

KIRA helps take recurring administrative work off your team's hands. At Velorix, we build the setup around your existing applications and agreed processes, then introduce automation step by step alongside your day-to-day work.

Your team shows us the work. We handle the setup. You stay in control.

A guided implementation with its own agreed scope and quotation. We define the first workflow with you before anything starts.

The work that keeps adding up

An enquiry arrives.
Then the small steps begin.

Someone reads it and searches for the client's details.

Earlier messages, the file, the system where the data lives.

Information is copied into another system.

The same details, entered again, by hand.

A reply is prepared, and someone has to remember to follow up.

Each step looks small. Together, they occupy the people you rely on to keep the business running.

What KIRA does

Suitable steps become
an organised workflow.

01

Assembles
the information.

Finds the permitted details for the case and keeps them together, so nobody searches twice.

The case, in one place
02

Prepares
the response.

Drafts the reply, flags what is missing and prepares the next task for the person responsible.

Ready for review
03

Keeps the next
action visible.

Outstanding replies and follow-ups stay on the list until someone closes them. As the workflow is tested and approved, agreed standard steps can be handed over.

Nothing waits unnoticed

A configured enquiry workflow

A member of your team opens a case and finds the relevant information and a prepared response together.

“Good morning, we are moving to Alicante in January and need help with a rental and the paperwork. Can you call me back?”

Missing details are clearly identified. The next task has an owner, and outstanding replies remain visible. Your team spends more of its attention on the customer's needs and the decisions that require experience.

The same approach can be applied to other appropriate areas, such as client onboarding, document collection, appointment coordination, internal handovers and reporting. Each workflow is assessed and configured for the systems involved.

A practical introduction in four steps

Built around your work.
Not another IT project.

01 / CHOOSE

Choose the
first task.

We identify a recurring process with a clear beginning, a useful result and a responsible person.

02 / SHOW

Show us
how it works.

Your team shares typical examples and important exceptions. We turn them into an agreed workflow and identify the access required.

03 / REVIEW

Review
the results.

We configure the pilot and test selected cases. KIRA initially prepares work for review, so the team can assess and correct the results.

04 / HAND OVER

Hand over
agreed steps.

Once the results are accepted, you choose which actions need approval and which standard cases may run automatically. Further tasks can then be considered.

Your existing tools form the starting point. We assess the connections and configuration needed, agree the scope and handle the technical setup. The introduction is planned around normal operations, with a limited pilot before wider use.

What your team contributes: a responsible contact, a few representative cases, the important rules and someone who can check the results.

The agreed workflow shows what has been completed, what is waiting and where a person needs to decide. Technical support and responsibility for exceptions are agreed with Velorix as part of the introduction, so the team knows where to turn when something needs attention.

Anything else on your mind?

Good questions.
Clear answers.

Let's talk it through
Will we have to replace our software?

We start by assessing the applications you already use and the workflow you want to improve. We explain which connections are possible and what changes, if any, are needed before implementation begins.

How much time will our team need to contribute?

We need a responsible contact, typical examples and an explanation of the important rules and exceptions. Your team also checks the pilot results. We handle the agreed technical setup. The required involvement is defined for the chosen workflow.

Can we introduce KIRA while the business keeps operating?

The introduction is planned alongside your normal work, starting with a limited pilot. If an integration needs a change or a maintenance window, that is assessed and agreed in advance.

What kinds of work can it help with?

Suitable examples include preparing responses, finding permitted information, collecting documents, organising tasks, tracking follow-up and preparing reports. The actual scope depends on the applications and processes assessed for your business.

Does KIRA make every decision automatically?

You choose the approval rules. The assistant can start by preparing work for review. Automatic actions are introduced only for agreed cases after the workflow has been tested and accepted.

Does it learn everything just by watching our computers?

A useful workflow needs business rules, context and human review. Your team shows us selected, approved examples of the work; there is no general learning period after which every task can be safely handed over.

Can it connect to all our accounts automatically?

Connections are configured for supported systems with the required permissions. Installing an application on a computer does not itself authorise access to every account on that computer.

How much will it cost?

The workflow, applications, setup requirements, support and expected usage determine the price. Velorix agrees a defined first scope and quotation before implementation starts. KIRA is an additional offer; it is not included in Sofi Pro or any other Velorix subscription.
