Velorix Agent OS — for agencies with a team

Your overheads are fixed. Your closings are not.

Portals, a CRM seat per agent, prospecting and valuation tools, e-signature, and someone to answer the phone: an agency pays all of it every month, closings or no closings. Velorix replaces that stack with one system that carries your brand, and puts a relocation back office behind it so the international clients your team cannot serve today stop walking out of the door.

Velorix SL · Alicante · Built, deployed and operated for you · Your brand on everything the client sees

Portal contracts?
Signed for the year, paid every month, whether the listings move or not.
A seat per agent?
CRM, valuation and prospecting licences multiply with every hire.
Someone to answer?
Answering, qualifying and booking is a salary, not a task.
An enquiry in German?
The client nobody in the office can service is a client who leaves.
The model

Three problems an agency has. One partner.

An agent inside an agency, an independent agent and an agency with a team do not have the same problem, so we do not give them the same answer. This page is the answer for an agency: a team, a payroll, and fixed costs that arrive before the commissions do.

Problem 1 · Fixed cost
One system instead of a stack
  • Pipeline, forms, calendars, unified inbox, automated follow-up and a mobile app for every agent — in one place, under your brand.
  • One agency price covering your whole team, instead of a licence that grows with every hire.
  • We build it, we deploy it, we operate it. Your agents get an app and a login, not a migration project.
See what's in the box →
Problem 2 · Clients you can't serve
An international back office
  • Your buyer has no NIE, no Spanish bank account, no idea how the tax side works. Today that is a lost sale and an awkward goodbye.
  • You refer them with your agency's code and keep selling. Our multilingual team runs the relocation side in their language.
  • We are your back office, never a competing agent: we do not prospect or cross-sell the clients you send us.
How the back office works →
Problem 3 · Income that stops
Revenue between closings
  • Every service a referred client buys is attributed to your agency's code and shown in your own commissions panel, inside your CRM.
  • Settlement is on a fixed date — the 15th of the following month, by bank transfer against invoice. Not "30 to 60 days".
  • Commercial terms are set out in the partner agreement you sign. We do not quote referral figures we have not fixed in writing.

The platform

Not "a CRM". An international-buyer operation, pre-built.

Anyone can resell software. What you are buying is the operation already assembled inside it: the pipeline, the bilingual forms, the calendars, the follow-up that runs whether or not anyone remembers — and a back office behind it. The status label on each block is what exists today, not what is planned.

International Buyer pipeline

Built

Ten stages from first enquiry to keys handed over, plus Lost and Cold. Every enquiry becomes a card with an owner and a next action, so nothing sits in an inbox and dies quietly.

Enquiry · qualified · viewing · offer · reservation · notary · keys

Buyer qualification built in

Built

Language, nationality, budget range, area, buying timeline, financing route, whether they need relocation help, and a timestamped consent record. The fields an international operation needs, already there.

The fields decide which language and which follow-up fires

Bilingual intake & valuation forms

Live

A buyer intake form in Spanish and English with GDPR consent and a separate, optional WhatsApp consent — both timestamped. Plus a seller valuation form that feeds your valuations calendar and your listings pipeline.

Consent captured properly, so every later message is lawful

Two booking calendars

Built

Viewings at 45 minutes with a 30-minute buffer, Monday to Saturday, assigned across your agents; valuations at 30 minutes, Monday to Friday. The client books the slot themselves, in their language.

Round-robin across the team · no double bookings · no phone tag

Unified inbox & mobile app

Platform

Email, SMS and WhatsApp in one thread per client, with the full history — on desktop and on the phone. Your agents work contacts, conversations, calendar and pipeline from an app between viewings.

One thread per client · the whole team sees the same history

The five automations that are live

Published

Consent capture; intake and routing that tags the language, scores the buyer and notifies the right agent; a reply within 60 seconds in the client's own language with the booking link inside; viewing reminders at 24 hours, 2 hours and 15 minutes; and no-show rescue with a rebooking link and a task for the agent.

Verified running in the master template, not on a roadmap

Landing pages, e-signature, social planner

Platform

Included in the platform licence and configured to the tier you take: campaign landing pages on your domain, documents signed electronically, and scheduled posting for your social channels.

Configured by us during deployment

Your commissions panel, inside your CRM

At deployment

The referral earnings attributed to your agency's code, shown read-only inside your own system — so nobody has to ask anyone what they are owed. It is connected on day 3 of your deployment and verified before we hand over.

Money is calculated in one place only, and displayed here

In build — and yours the day it ships

Not live yet

Post-viewing feedback in one tap, the offer-to-notary milestone chain, review requests after completion, and the master unsubscribe rail are being finished now. We would rather list them here than let a salesperson imply they already run. Template updates are pushed to every account as they ship, at no extra cost.

Listed honestly · included when it lands · no renegotiation

Official WhatsApp Business — the honest version

WhatsApp is the strongest part of this offer and the easiest one to oversell, so here is exactly what we promise. Your agency gets its own number and its own Meta connection — it cannot be pre-built into a template, because it needs your Meta admin access and a dedicated mobile line. Booking confirmations, reminders and case updates can be submitted for approval straight away; marketing messages stay blocked until Meta finishes verifying the business. The promise we make is live within ten working days of you giving us Meta admin access. Never "live on day one".

The back office

The client your office can't service is still your client.

A family walks in, loves a property, and then it stalls: no NIE, no Spanish bank account, no idea what the tax situation looks like, and the mortgage falls through. Before, that was a lost sale. Now it is a referral you keep earning on.

01

You refer with your code

One form, from your own CRM. Your agency's code travels with the client, so the attribution never depends on anyone remembering.

02

We run the relocation side

Document preparation and accompaniment for NIE and residency paperwork, banking, introductions to independent tax and legal professionals, home search, schools, utilities — in their language.

03

You stay the agent

The client completes instead of walking away, and stays yours. We never prospect them, never cross-sell them, never put ourselves between you and them.

04

It settles on a date

Everything they buy is tracked against your code and visible in your panel in real time. Settlement is the 15th of the following month, by bank transfer against invoice.

Rent-to-Buy, foreigner mortgages, purchase-and-renovation finance and rent-default cover for international tenants are run through the same back office. What each service pays your agency is set out in the partner agreement you sign — we do not publish referral figures, and no one on our side will quote you a number that is not in the contract.

The cost structure

Same team. A different shape of cost.

This is not a saving we invented for you — it is the list of lines an agency actually pays. Put your own figures against it.

We keep your portals in the "you keep yours" column on purpose: replacing them is your decision, not our claim. Want the arithmetic on your own numbers? What we are not selling you yet: an AI voice receptionist, Google review management and managed campaigns are all in the catalogue and none of them is on sale, because they have not passed our own acceptance test or do not yet have a named person delivering them. When they do, you will be offered them — not before.

How we deploy

Six stages, and you always know which one you're in.

Software projects fail in the handover, not in the build. This is the sequence, what we need from you at each point, and what proves a stage is actually finished.

Stage 0

Qualify — before anyone books a demo

We check the fit in a short exchange, and we say no when it isn't there.

  • You already receive international enquiries.
  • You own your domain and your mailbox on it.
  • You have a privacy policy, or will adopt a template.
  • We decline purchased or cold lists. No exceptions.
Stage 1

Demo — twenty minutes, a live account

No slides. We push one lead through the system and you watch it come out the other side as a booked viewing with reminders — the same journey your own client would take.

  • Bring a real enquiry if you want to see it on your own case.
  • You get a written scope and price the same day.
Stage 2

Sign and pay

Two documents, signed electronically: the partner agreement, which sets out the referral relationship and its terms, and the service order, which sets out plan, price, term and usage billing.

  • Setup fee and first month before provisioning starts.
  • Paid through our invoicing, not through the platform.
Stage 3

One intake form, no email ping-pong

Everything we need, collected once, the day you sign. Anything missing here becomes a delay later.

  • Identity: legal entity, trading name, logo, colours, hours.
  • Email: your sending domain, reply-to and internal alert inbox.
  • People: users, roles, who is on which calendar.
  • Legal: privacy policy URL and your Google Business Profile.
  • Data: your contact list — and written confirmation of who has already unsubscribed.
  • WhatsApp: the mobile number to dedicate, and Meta admin access.
Stage 4

Provisioning — five working days, each with proof

A day is not finished because we say so. It is finished because something demonstrable happened.

  • Day 1 — account, template, branding, sending domain. Proof: a test email arrives with SPF and DKIM passing.
  • Day 2 — users, both calendars, booking links. Proof: one real booking completed end to end.
  • Day 3 — commissions panel, privacy and review links. Proof: the panel opens your data and no field anywhere still says DEMO.
  • Day 4 — WhatsApp number, Meta connection, templates submitted.
  • Day 5 — contacts imported with your suppressions applied, then one synthetic lead end to end.
Stage 5

The first thirty days

Delivery is not adoption. This is where an account is won or lost, so we watch it instead of waiting for you to report.

  • Day 0 — 45-minute kickoff, and we push one of your real enquiries through the system together.
  • Days 1–7 — your agents install the app and take their first bookings. We watch the usage; you don't have to tell us.
  • Day 14 — usage review: leads in, response time, bookings, no-shows recovered.
  • Day 30 — first business review with the numbers on the table.

One thing we won't do: quote you a go-live date we have not measured. Your date is confirmed in writing when you sign, and the plan above is what we work to. And one warning worth more than any feature: if an imported list arrives without its opt-outs, the sending domain is burned within days and it looks like the automation failed. We do not import until you confirm the suppression list in writing, and we test a ten-row sample first.

The rails

What we deliberately don't do.

These are not gaps we haven't got to. Each one exists because breaking it damages you, us, or both — and a vendor who will not tell you where the limits are has not thought about them.

No cold outreach from the platform

The platform only messages people who already replied or gave you their number. Every partner agency shares the same sending reputation: one spam complaint puts everybody at risk, so this rail is not negotiable — not for you, not for anyone else on it.

No commission maths inside the platform

Your earnings are calculated in one system and only displayed in your CRM. Two ledgers means two answers to "what am I owed", and the one you'd believe is never the one that pays.

No client payments through the platform

Your clients pay you the way they already do. We do not insert a payment gateway between you and your money, and we do not become a party to your client's transaction.

No bank or tax data stored in the CRM

IBANs and tax identifiers belong with your signed agreement in the right place, not in a note attached to a contact record that half the office can open.

Who you're partnering with

A real company. A real office. A partner you can verify.

  • 01

    Not an anonymous software reseller

You are contracting with Velorix SL, a registered Spanish company with an office you can walk into at Calle Navas 25, Alicante.

  • 02

    Your clients are never poached

We work as your back office, never as a competing agent. We do not prospect or cross-sell the clients you refer, and your data is not shared with another agency on the platform.

  • 03

    Your brand, everywhere it matters

Your logo, your colours, your domain, your WhatsApp number. Your clients see your agency — the machinery underneath is not something they ever meet.

  • 04

    Multilingual by default

Client-facing service in six languages, so an enquiry in German or Dutch is not a problem your office has to solve.

Common questions

Straight answers.

Is this just a licensed platform with your logo on it?
It runs on a licensed commercial platform, and we will not pretend otherwise. What you are paying for is the international-buyer operation already built inside it — the pipeline, the bilingual forms and consent handling, the calendars, the automations — plus a relocation back office and a commissions panel that nobody reselling that platform can give you. If all you want is the raw software, buy it directly; you will be cheaper and entirely on your own.
Whose brand do our clients see?
Yours. Your logo, your colours, your domain, your WhatsApp number, your agents' names on the calendar. Nothing your client touches carries our name.
Do you contact our clients?
Only the ones you deliberately refer to us for relocation services, and only about that service. We do not prospect your database, we do not cross-sell your buyers, and no other agency on the platform can see your contacts.
What happens to our data if we leave?
Your contacts and your conversation history are yours and are exportable. We do not hold a client list hostage — an agency that stays because it cannot leave is not a customer, it is a complaint waiting to happen.
Can we keep our current CRM?
You can, but you would be paying for two systems and getting the automations of neither. If you want to move, CRM migration is 290€ and we do it during provisioning — and we will tell you honestly before you sign whether your current export is clean enough to migrate well.
Do our agents have to change how they work?
They install an app, take their bookings from it, and answer conversations in one inbox instead of four. That is the whole change. There is one 45-minute kickoff, and an account whose team skips it is the account that churns — which is why we reschedule rather than skip it.
Will WhatsApp be working on day one?
No, and anyone who tells you otherwise is selling. Your agency needs its own number and its own Meta connection, which requires your Meta admin access and a dedicated mobile line. We commit to it being live within ten working days of receiving that access. Booking confirmations, reminders and case updates go for approval immediately; marketing messages stay blocked until Meta finishes verifying the business.
What does the referral side actually pay us?
The commercial terms are set out in the partner agreement you sign, and that is deliberately the only place they exist. We do not publish referral figures on a web page, and nobody on our side will quote you a number in a meeting that is not in the contract you read.
How many agencies are you taking on?
We deploy in small batches, because provisioning and the first thirty days are done by people, not by a signup form. If a slot is not available when you ask, we will tell you when it is rather than take your setup fee and put you in a queue.
Do we have to be exclusive to you?
No. You keep your portals, your suppliers and your own client relationships. What the partner agreement asks for is that the international clients you refer are handled through one route, so attribution and settlement are unambiguous.

Velorix SL provides software configuration, deployment and support services, and relocation services delivered by its own team and by independent regulated third-party providers (lenders, insurers, investment funds, lawyers, tax advisers and specialist partners). Legal and tax advice is given by those independent professionals, who are solely responsible for it — Velorix does not provide legal or tax advice, and referral fees are paid for introductions, not for advice. Immigration and residency work is described as document preparation and accompaniment; Velorix does not issue or grant any permit, and outcomes are determined by the competent authorities. Financing amounts, insurance acceptance and product terms are set by the relevant providers and depend on each client's profile — nothing on this page is a guarantee of approval, of a rate, or of a specific outcome. Setup fees, monthly fees and usage rates are confirmed in the signed service order. Availability of official WhatsApp Business messaging depends on approval by the platform provider and by Meta.
